This Privacy Policy explains how Veteran Systems LLC (“V.SYS,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the website at veteran.systems and related pages (the “Site”). By using the Site, you agree to this Privacy Policy.
1. Who we are
Veteran Systems LLC is a Florida limited liability company. Questions about this Privacy Policy or your information may be submitted through the project request form on this Site.
2. Scope
This Policy applies to information collected through the Site, including the project request form and any pages that link to this Policy. It does not cover third-party websites or services that we do not control, even if they are linked from the Site.
3. Information we collect
Information you provide. When you submit the project request form, we collect the details you enter, which may include your name, email address, business or project name, website address, selected services, brand color preferences, timing, budget range, and project description.
Technical and security information. To operate and protect the form and Site, we may process the page from which a request was sent, browser type, and a one-way hashed representation of your IP address that is not designed to be reversed into the original address. Connection logs may also be processed by our hosting provider in the ordinary course of delivering the Site.
Calls, accounts, and the assistant. If you request a call, create a client portal account, or talk with the live assistant on the Site, we collect the details you provide there, such as your name, email address, mobile number, preferred call time and time zone, and what you would like to discuss. Conversations with the live assistant are transcribed and saved so our team can follow up.
Demo interactions. The operations platform demo runs in your browser with fictional sample data. Entries you make in the demo are not transmitted to V.SYS for storage as part of that demo experience.
4. How we use information
We use collected information to:
- review project requests and respond by email;
- prepare proposals and related communications;
- operate, secure, and improve the Site and form;
- detect spam, abuse, and fraud; and
- comply with applicable law and enforce our Terms of Service.
We do not sell your personal information, and we do not share it with third parties for their independent advertising or marketing.
5. How we share information
We may share information with service providers who help us operate the Site (for example, hosting, database, and email delivery providers), solely as needed to perform those services on our behalf and subject to appropriate confidentiality and security obligations. We may also disclose information if required by law, legal process, or to protect the rights, safety, or property of V.SYS, our users, or others.
6. Text messages (SMS)
If you enter a mobile number when requesting a call or in the client portal, you agree to receive text messages from V.SYS about that call: request received, confirmed, rescheduled, or cancelled, and reminders before the call. Message frequency varies, usually up to 5 messages per call. Message and data rates may apply. Reply STOP to stop receiving texts at any time, or HELP for help. You can also ask us to remove your number at any time. Texting is optional and not required to request a call.
We do not sell, rent, or share your mobile number or text messaging consent with third parties or affiliates for their marketing or promotional purposes. Mobile information is shared only with the service providers that deliver our messages, solely to send them on our behalf.
7. Cookies and analytics
V.SYS has not added advertising trackers, third-party marketing analytics, or a marketing cookie banner system to this Site. Your browser or our hosting platform may use strictly necessary storage or logs to deliver and protect the Site. The Site loads typefaces from Google Fonts; your browser may connect to Google’s servers to retrieve those files.
8. Data retention
We retain project request and related records for as long as reasonably needed to respond to your inquiry, manage the business relationship, maintain security and audit records, and meet legal obligations. You may request deletion of a request you submitted, subject to retention required by law or legitimate business needs such as fraud prevention.
9. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your choices and requests
You may request access to, correction of, or deletion of personal information you submitted through the Site by contacting us through the contact form. After you submit a request, the Site may also allow you to download or copy a text copy of what you sent; those copies remain on your device.
Depending on your location, you may have additional rights under applicable privacy laws. We will respond to verifiable requests in accordance with Florida and other applicable law.
11. Children’s privacy
The Site is directed to business customers and is not intended for children under 18. We do not knowingly collect personal information from children under 18.
12. International visitors
The Site is operated from the United States. If you access the Site from outside the United States, you understand that your information may be processed in the United States, where laws may differ from those in your jurisdiction.
